Backups and the year's freeze

Download a signed copy of the shop's books, what is in it and what is left out, the copy Pasal keeps of every closed year, and how to check one.

A backup is a signed copy of this shop's books in one ZIP file: every bill, credit and debit note, return, Khata line and repair, the products, the customers the bills name, and the logs of who printed, cancelled, sent and downloaded what. It is what you hand an accountant, or an inspector who asks for the records, and IRD's billing procedure asks that a shop can make one.

  1. Open Settings, then Backups, below the rows about you. You see it if you are the owner, or if the owner gave you the Backups tick. Somebody with that tick and not Settings opens Settings on this pane alone.
  2. Press Make a backup now. It is made while you wait, a few seconds for a small shop and up to a minute for a busy one, and the download starts by itself. The link works for ten minutes; press Download beside a backup in the list for a fresh one, any time.
  3. Keep it six years after its fiscal year ends. That is what VAT Rules 2053, rule 23(7), asks of a shop's records. Pasal keeps its own copy as well and deletes none.

What is left out, on purpose

What you paid for your stock, and what a repair cost you, are not in it. They are yours and not figures on a tax bill, and a backup can be downloaded by somebody you gave the Backups tick. The file's own manifest names every field it leaves out, so nobody reading it takes a missing buying price for a lost one.

Every closed year, kept on Shrawan 1

On the evening of Shrawan 1, when a fiscal year has closed, Pasal makes one more backup of every shop that has issued a bill or taken a paid sale and did anything in that year: the year's bills, notes, returns, Khata, repairs, prints and postings, with the products as they stood. It waits until 10 pm so a counter that sold offline on the last night of Ashad has the day to send its sales in. It shows in your list as Year 2082/83, frozen, made by Pasal, and it is never made again or replaced. A bill of that year cancelled or refunded after the year closed is in it as it stood when the copy was made, and what changed it is in the files whose names end .after-close.ndjson. A shop that has never billed or been paid has no tax records to keep, so it gets no yearly copy: a test bill to IRD does not count.

Checking a copy

Each backup in the list shows a Fingerprint: the start of the file's SHA-256, the whole of it when you hover. Anyone can check a downloaded file against it (on a Mac or Linux, shasum -a 256 and the file name). Inside the ZIP, manifest.json lists every file with its row count and its own SHA-256, and manifest.sig is Pasal's signature over the manifest, so Pasal can tell whether anything in it was changed after it was made. A very large table continues in numbered files (orders.2.ndjson and on); read them in order.

If it does not finish

One backup can hold about twenty thousand sales, each with the record of its bill, its print and its posting to IRD. A backup made by hand holds everything to date, so a busy shop passes that in its first year or two; when it does, the backup stops part way and the pane says so when you press the button. Nothing of yours is lost, and pressing again stops the same way: ask us on WhatsApp from the Help tab for a full copy. The stopped backup is marked Did not finish after ten minutes. The yearly copy holds one year, so it fits a shop of up to about twenty thousand sales a year (some fifty-five a day). Pasal tries a year three times; a year too big for one backup is marked in your list as one Pasal could not make, and we make its copy for you when you ask.

About Pasal billing

The row under Backups shows the version of the part of Pasal that numbers, prints, cancels, corrects, sends and keeps your tax bills, because IRD lists billing software by its name and version. Open it to see what that version does for your shop, each part marked On, or Not yet while Pasal has still to switch it on for you. Every backup records the version that made it.
