Bring old sales from Excel

Import paid bills from Excel or CSV, with original dates, bill numbers and customer details. Stock stays unchanged.

The shop owner can open Sales → Import previous sales and upload an unprotected Excel (.xlsx) or UTF-8 CSV file. Use one row per paid bill, up to 1,000 bills and 5 MB per file. Older .xls files must be saved as .xlsx or CSV first.

  1. Choose the worksheet and header row. Match the sale date, original bill number and total amount columns.
  2. Optionally match customer name, phone, email and payment method. Customer details are private shop records.
  3. Choose the date format, including BS year-month-day. Review invalid dates, amounts and contacts. You can correct the source file or explicitly skip rows with file errors.
  4. Preview the bills. Already recorded bill numbers on the same date are skipped. If phone and email point to different customers, correct them before importing. Press Confirm import to save.

Contacts match existing customers by phone or email. New contacts appear under Customers from previous salesin Customers. Name-only records stay separate so two people with the same name are not merged.

Open the original period in Sales, using Custom dates for older records. Bills have an Imported label and a separate imported total. Export period CSV includes them with Source set to Imported; they are not counted in Pasal paid sales or VAT totals.

Importing does not change stock, send receipts or review requests, create tax invoices, update Khata balances or award loyalty points. Unpaid balances and individual item lines are not imported. Do not recreate old sales as new counter transactions to copy totals.

Keep the original spreadsheet and receipts. Save Excel bill numbers and phone numbers as text if they have leading zeros. A Pasal backup is a separate record copy, not this import tool.

If the import says it needs a database update, the owner must apply the previous-sales migration before saving. Retrying an interrupted import does not add the same bills twice. Do not share real customer details in help chat.
